This is the section of Admin Panel where you can create, edit and manage the contents and design of job board email templates.

To access Email Templates section you need to go to: Admin Panel > Layout and Content > Email Templates:

 

From this page you can create new templates, edit the email template design theme, and edit one of the Email Templates Groups.

 

 

Adding a new email template:

 

On the top of Email Templates page you will see the following box:


In order to add a new email template you need to enter the name of a template and select the email template group where you want to place this template. Once you click “ADD’ the new email template will be added to a corresponding group. The newly added template can be edited after this.

 

Editing Email Theme:

All email templates have single email design theme that is stored in one system template. This template is located in Admin Panel  > Layout and Content > System Templates > Miscellaneous > email_theme.tpl

For quick access to this template click on Edit Email Theme button:

On the opened page you will see the following template:

In this template you can edit the layout and design of your emails. Once changed in this single template the design will be applied to all emails sent by the system. The default design theme already contains the signature of the website.

 

Email Template Groups:

Email Templates are divided into several groups:

Below you can see each group in details:

1)      User Emails:


Activation Email – sent to the users if “Send Activation Email” option is enabled in the settings of a User Group.  The email contains Activation Key that is needed for user account activation;

Profile Deactivation Email – informs a user about deactivation of his profile;

Profile Deletion Email - informs a user about deletion of his profile;              

Social Registration Email – sent to a user after registration through one of the social add-ons like Facebook, LinkedIn or Google;

User Approval Email – sent to a user to notify that he was approved by Admin;     

User Profile Deletion Email for Admin – informs Admin about deletion of profile by a user;              

User Registration Email for Admin – informs Admin about new user registrations;

User Rejection Email – notifies user about rejection of his profile by Admin;            

Welcome Email – General email sent to the users after registration (optional);

Welcome Email for Employer - email sent to the Employers after registration;

Welcome Email for Jobseeker- email sent to the Jobseekers after registration.


2)      Listing Emails:


Add Listing Email for Admin  - notifies Admin on newly added listings;

Listing Activation Email – notifies Admin on newly activated listings;             

Listing Approval Email – informs user on approval of his listing by Admin;   

Listing Deactivation Email – informs user on deactivation of his listing;         

Listing Deletion Email - informs user on deletion of his listing;           

Listing Expiration Email - informs user on expiration of his listing;    

Listing Expiration Email for Admin – notifies Admin on expiration of user listings;

Listing Expiration Reminder - reminds user about forthcoming expiration of a listing;

Listing Flagged Email for Admin – informs Admin about newly flagged listings;        

Listing Rejection Email - informs user on rejection of his listing by Admin;

 

3)      Product Emails:


Banner Rejection – informs users about their banner rejected by Admin;   

Banner Upload Notification Email For Admin – informs Admin that a user has purchased a Banner Product and uploaded his banner; 

Product Activation Email – sent to users after purchase of a product;           

Product Expiration Email for Admin                 - informs Admin about user’s expired products;

Product Expiration Email for Users - informs user about his expired products;          

Product Expiration Reminder – reminds user about forthcoming expiration of a product;    

Recurring Product Activation – informs user on activation of a recurring product.

 

4)      Email Alerts:


Job Email Alert – a message with a list of newly found jobs according to the criteria selected by user;

Listing Email Alert - a common message with a list of newly found listings according to the criteria selected by user;

Resume Email Alert - a message with a list of newly found resumes according to the criteria selected by user;


5)      Other Emails:


Application Approval Email - email that is sent to a job seeker informing that employer has approved his application;

Application Rejection Email - email that is sent to a job seeker informing that employer has rejected his application;

Apply Now Email – email that is sent to an employer informing him on new job applications;           

Contact Form Email  - message from Contact form on front-end;

Mass Mailing Email   - email that is sent by Admin as Mass Mailing

New Private Message Notification - notifies users on new private messages;

Password Change Email – notifies user on change of password;      

Poll Results Email – sent to Admin to inform poll results;

Screening Questionnaire Auto Reply – sent to job seekers from the name of employer after passing a screening questionnaire;          

Sub-admin Registration Email – sent to a sub-admin after registration;        

Sub-user Registration Email - sent to a sub-user after registration;

Tell a Friend Email – email that is sent to a friend from the name of user advising a job or resume.

 

Each template in a group can be edited. Certain templates can be assigned to certain functions of the job board.

Note:

Email templates created in the system by default can be edited however cannot be deleted. New templates created by Admin can be both edited and deleted.

 

Editing Email Template:

In order to edit newly created or existing email template click “Edit” button close to corresponding template and you will be taken to a page like this:

Template Name – edit the name of template;

Group Name – you can move the template to another group;

From Name – enter a name from which the message would be sent. If not filled the value would be automatically taken from System Settings > Mail > From Name;

From Email - enter an email from which the message would be sent. If not filled the value would be automatically taken from System Settings > Mail > System Email;

CC – enter emails you want to put in copy;

Subject – enter the subject of your notification;

Attachment – attach file to the message;

Text – enter the body of your email;

In the bottom of every email template you can see the list of variables available for this template. Yu can copy/paste them in your message for dynamic content:

Note:

Please take into account that each template group has its own set of available variables and the variables from different groups may not function correctly. Each email in 'Other Emails' group has its own set of variables that is why they were grouped in "Other' group.

Once you created your message press 'Apply' button to apply the changes and remain on this page or press Save to save the changes and go back to the list of emails.

 

Setting Website Signature:

In order to set up a general website signature that would be used for all the emails sent by the system you need to go to Admin Panel > System Settings > Mail > Mail Signature.

Once entered the variable for the signature will be stored in the general email design theme and will be inserted in all the emails sent by the system.

 

Assigning emails to certain functions:

User Groups:

You can choose what emails in what cases should be sent. For each notification you can choose a particular email from email group.

In settings of a user group in Admin Panel > User Groups > Edit User Group in ‘Notifications’ section you can select what emails for what notifications should be sent:

As you can see from above the notifications are divided into 3 groups: User Notifications, Listing Notifications and Product Notifications.

Please note that for each group of notifications only emails from corresponding template group would be listed. For example for User Notifications you will see only the list of emails from ‘User Emails’ group etc. The groups of emails were described earlier in this article. So if you would like to create a new email for user notifications please put it in corresponding Email Templates Group.

 

Note:

You can also use and Edit icon next to the email selection drop-down for quick redirect to editing the needed email template. If you want to disable sending of a notification you can select None and this notification would be turned off.

 

Email Alerts:

You can assign Email Alert templates to certain listing types so for a particular listing type separate alert notification is sent. To select Email template for listing types go to: Admin Panel  > Listing Types > Edit Listing type. On the new page you will see:

Select an email template you need for this listing type and users subscribing for the email alerts of this listing type will receive this message.

 

Note:

You can also use and Edit icon next to the email selection drop-down for quick redirect to editing the email template. If you want to disable sending of a notification you can select None and this notification would be turned off.

 

Admin Notifications:

For Admin you can also select needed emails for certain notifications from Admin Panel > System Settings > Notifications:

As you can see from above it is possible to select certain emails for notifications. For certain notification a certain list from a corresponding template group would be listed.

 

Note:

You can also use and Edit icon next to the email selection drop-down for quick redirect to editing the email template. If you want to disable sending of a notification you can select None and this notification would be turned off.
